A clear bill of materials is the starting point for collaboration between engineering and purchasing. Here is a simple way to organize the information.
List the exact part numbers
Give each line its own product ID and include the full part number, package and quantity. If alternatives are acceptable, list the conditions separately.
Put quantities and delivery dates together
Include the quantity you need and note whether the order is for samples, a pilot run or production. Add your preferred delivery date. Mark anything that is still undecided as awaiting confirmation.
Keep a version record
Keep a date and change note for each update. Working from the same version helps everyone confirm the same requirements and reduces misunderstandings.
